Description
Robinson Engineering is hiring for a full-time Administrative Manager to lead the organization’s administrative support team. The position is responsible for overseeing and participating in the daily administrative support operations of the company. This person will participate in and lead the daily functions of the department as well as supervising and supporting staff.

Essential duties and responsibilities include, but are not limited to:
* Directly supervises employees on the administration team. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
* Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; employee training; allocating responsibilities to key staff; appraising performance; providing coaching and guidance in addition to rewarding and disciplining employees; addressing complaints and resolving problems.
* Develop and participate in writing, implementing, and coordinating administrative procedures and systems including policies, procedures, processes and job descriptions. This includes devising ways to improve and streamline these processes once they are implemented.
* Develops and coordinates delivery of all general training for administration employees – personal, professional team development. * Manages and coordinates administrative support for and between all REL office locations.
* Participates in planning for future expansion into new markets and service areas.
* Manages client reception and incoming/outgoing communications by telephone and mail, both internally and externally, to insure effective treatment while maintaining a professional image.
* Manages record systems including current projects, technical library and archived materials.
* Develops, coordinates and carries out all company document control processes.
* Supervises the maintenance and alteration of office areas and equipment as well as layout, arrangement and housekeeping of office facilities.
* Negotiates the purchase of office supplies and furniture, office equipment, etc. for the entire staff in accordance with company purchasing policies and budgetary restrictions.
* Supervises the maintenance of office equipment, including coffee machines, vending machines, copiers and scanners.
* Provides project specific administrative assistance to engineering/surveying staff, including: Provides assistance with federal agreements, documentation, federal project invoicing and pay out letters; Develops and implements process to regularly update project schedules; Manages and maintains the contract bidding process; Develops and manages contractor pre-qualification processes; Assist in administration of plan review process; Assist in response to typical requests-for-information (atlases, maps, etc.) on behalf of clients.

Qualifications for the position:
* Associates Degree preferred
* At least seven years related experience and/or training or an equivalent combination of education and experience
* Prior experience at an engineering or technical firm is desirable.
* Supervisory experience required, management of staff in multiple locations preferred
* Ability to multi-task and maintain organization in a fast paced, changing environment
* Excellent planning, and organizational skills
* Well-developed interpersonal and communication skills
* High level of computer proficiency in Microsoft Office Suite and experience in Adobe and digital document scanning
* Ability to travel on a regular basis to all office locations and to provide own transportation

(Testing will be required for basic typing skills and Microsoft Office skills.)
