Description

Robinson Engineering is recruiting for a full-time Administrative Assistant for work in the Itasca Office 5 days a week for a total of 30 hours per week.

This position assists staff members with administrative tasks in the form of typing, filing, scheduling, performs duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Independent judgment is required to plan, prioritize, and organize diversified workload.

Essential duties and responsibilities; include but are not limited to the following:

  1. Typing, filing, record keeping, obtaining supplies, scanning and coordinating direct mailings.
  2. Schedule and organize activities such as meetings, travel, conferences, events, and activities for the company.
  3. Organizes and prioritizes large volumes of information and calls.
  4. Drafts written responses or replies by phone or email as necessary.  Responds to regularly occurring requests for information.
  5. Scanning and filing of important documents.
  6. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.  Proofreads copy for spelling, grammar, and layout, making appropriate changes.  Responsible for accuracy and clarity of final product.
  7. Works independently and within a team on special nonrecurring and on going projects.
  8. Other duties as assigned.


Qualifications/skills & knowledge requirements:

  1. High school graduate.
  2. At least three years of experience in an office setting of 25+ employees.
  3. Excellent written and oral communication skills.
  4. Must have knowledge of a variety of computer software applications including proficiency with the Microsoft Office Suite (version 2016 preferred) and Adobe DC.
  5. Must have the ability to use tact, diplomacy and professionalism in all interactions.
  6. Analytical and critical thinking skills required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  7. Must be detail oriented in composing, typing and and proofing materials. 
  8. Ability to multi-task in a fast paced, changing environment.
  9. Ability to travel on a regular basis to multiple office locations and to provide own transportation.
